Job Opportunity:
BHSI has an exciting opportunity for an Executive Assistant (EA) who will provide administrative support to the Regional President and broader leadership team in our Hong Kong office. This role will proactively coordinate and manage the executives’ schedule, effectively anticipating, and prioritizing everyday needs. Additionally, the EA will manage the general duties of the office, support the coordination of travel and events, and occasionally assist with other requests.
This role requires discretion, independent judgment, and initiative. It would suit an enthusiastic and confident team player, who can operate with minimal direction. We are seeking someone with strong communication and time management skills, who has previous administration and Executive Assistant experience.
Essential Job Responsibilities:
- Provide administrative support to Regional President and senior executives based in Hong Kong.
- Provide calendar management for the Regional President, including arranging meetings across multiple time zones.
- Assist with travel arrangements including organizing accommodations, air transportation, meetings, agendas, and general logistics, ensuring adherence to company policies.
- Prepare expense reports and related activities.
- Oversee day-to-day operations of the Hong Kong office, liaising with building management and suppliers as appropriate.
- Supervise the Receptionist.
- Assist in the coordination of internal and external events, including team functions and regional meetings.
- Manage procurement of office and mobile/IT equipment for the Hong Kong office when required.
- Provide other administrative support as required depending on business priorities and activities.
Requirements:
- 5+ years of executive-level administration experience supporting multiple executives.
- Efficient time management and task prioritization with acute attention to detail.
- Demonstrated ability to work on your own initiative with little direction to identify solutions.
- Experience organizing small- and large-scale events with internal and external stakeholders.
- Highly advanced skills using the entire Microsoft Office Suite, and experience with travel and expense applications, specifically Concur.
- Strong interpersonal, verbal, and written communication skills.
- Ability to maintain a high level of confidentiality and professionalism, including handling sensitive information with discretion.
- Previous experience within a global organization is favorable.
